EZTPA provides retirement plan administration services. This Privacy Notice explains how we collect, use, disclose, retain, and protect personal information in connection with our services, website, and communications.

This Privacy Notice applies to personal information we collect:
Through our website and business communications (email, phone, and similar channels); and in the course of providing retirement plan administration services to employer-sponsored retirement plans and plan sponsors (“Clients”).
Important note about plan administration: In many cases, EZTPA processes personal information on behalf of a retirement plan sponsor and/or the plan (for example, as a service provider to the plan sponsor). In those situations, the plan sponsor’s and/or plan’s privacy practices may also apply, and we may need to direct certain requests to the appropriate Client.
2) Personal information we collect
Depending on the relationship and context, EZTPA may collect:
A. Information you provide directly
- Contact information (name, address, email, phone)
- Employer/plan details (employer name, plan name, plan identifiers)
- Information relevant to plan administration (e.g., date of birth, employment details, compensation-related data, contribution elections, beneficiary information, loan/distribution-related information, and similar data needed to administer a plan)
- Communications and correspondence (emails, support requests, and related records)
B. Information we receive from Clients and other sources
We may receive personal information from Clients and other parties involved in plan administration (such as payroll providers, recordkeepers, custodians, and advisors) as needed to provide our services.
C. Website and device information
If you visit our website, we may collect technical data such as IP address, browser type, device identifiers, and website usage data through cookies or similar technologies (see Section 8).
3) How we use personal information
- We use personal information to:
- Provide and administer retirement plan services (including compliance support, reporting, and operational processing)
- Communicate with Clients, participants, beneficiaries, and authorized representatives
- Maintain and improve our operations, systems, and service quality
- Detect, prevent, and respond to security incidents, fraud, and misuse
- Comply with legal, regulatory, and contractual obligations
- Maintain business records, audits, and internal controls
4) How we share personal information
We do not sell personal information.
We may share personal information:
- With Clients and authorized parties as needed to administer plans and provide services
- With service providers that support our operations subject to appropriate confidentiality and security requirements
- For legal/compliance reasons (e.g., to comply with law, regulation, subpoena, court order, or to protect rights, safety, and security)
- In connection with a business transfer (e.g., merger, acquisition, restructuring, or sale of assets), subject to appropriate protections
5) Data retention
We retain personal information as long as reasonably necessary to:
- Provide services,
- Maintain business records,
- Meet legal/regulatory requirements, and
- Resolve disputes and enforce agreements.
Retention periods vary depending on the type of record and applicable obligations.
6) Data security
EZTPA maintains administrative, technical, and physical safeguards designed to protect personal information. These safeguards include access controls and multi-factor authentication for key systems, along with secure storage and transmission practices appropriate to the sensitivity of the data we handle.
No method of transmission or storage is 100% secure. We work to protect personal information using reasonable measures appropriate to our operations and risk profile.
7) Individual rights and requests
Depending on your state of residence and your relationship to EZTPA, you may have rights regarding your personal information (such as access, correction, deletion, or opting out of certain processing).
Plan context: If we process your information on behalf of a plan sponsor/Client, we may need to route your request through the Client or respond consistent with contractual and legal requirements.

Our website may use cookies and similar technologies to:
- Enable core website functionality,
- Understand site usage and improve performance, and
- Maintain security and prevent abuse.

Our website and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 through our website.
